Rooms are rarely the only scope, so most installs run alongside our AV system integration and structured cabling crews on the same site visit.

The gear on the datasheet works. What breaks is everything around it. Four patterns account for most of the rooms we get called in to fix.

The Room Fails on the First Call

Display is on the wall, camera is bolted up, and the all-hands still drops. The codec never got a DHCP reservation on the AV VLAN, or media UDP was never opened. Hardware was never the problem.

HDMI and USB Die at Distance

Passive HDMI to a table 30 feet from the credenza sparkles at 4K60, and USB past the 5-meter spec drops the camera mid-meeting. It passed on the bench and fails in the room, intermittently.

No Backing Behind the Drywall

An 86-inch display and a dual-arm mount land on 25-gauge metal studs with no plywood or unistrut behind them. Nobody told the GC before the ceilings and walls closed, so now it is demo work.

Eighty Rooms, Eighty Standards

Every site hired a local AV shop. No two rooms share a mount height, a cable path, or a device name, so the help desk supports eighty different failure modes instead of four room types.

What We Actually Install in the Room

Six pieces of work, each with its own way of going wrong. Here is how we execute each one so the room is boring for the next five years.

Display Mounting

Size and mounting height come from farthest-viewer distance, not from what fits the wall. Heavy dual-arm and large-format mounts land on unistrut spanning studs or plywood backing, never on bare 25-gauge metal. Recessed in-wall boxes carry power and signal so nothing hangs below the panel.

Camera Placement

Cameras go on the wall people look at, framed so the far end sees faces and not the backs of heads. We set height for seated eye line, keep windows out of the backlight path, and lock presets for the room's real seating count instead of an empty-room shot.

Table & Credenza Runs

Power, USB-C, and HDMI land in a table box fed by dedicated conduit from a core drill or poke-through — scanned before we cut, and never shared with line voltage. Past 25 feet we move to active optical HDMI or HDBaseT, and USB gets a powered extender rather than a long passive cable.

Ceiling Mics & Speakers

Beamforming arrays get placed against the reflected ceiling plan, off supply diffusers and away from lighting ballasts, on plenum-rated Cat6A pulled home to the IDF. In-ceiling speakers get tile bridges and independent support wires so the grid is not carrying the load.

Control & Commissioning

Touch panel at the table or wall, scheduling panel outside the door, both PoE-fed from the IDF. DSP gain structure and echo cancellation get tuned in the finished room with furniture in it, then we run a live call end to end before the room is handed over.

Network Readiness

The codec gets a wired port on an AV VLAN with a DHCP reservation, QoS marking for media, and the outbound UDP ranges its platform needs. We verify the switch PoE budget before the mic array, camera, and panels ship — port count is not the constraint, wattage is.

The Codec Is Just Another Endpoint on Your Network.

Half the rooms we get called back to were installed correctly and never made ready on the network. We handle both sides, and if the closet cannot carry the load we say so before the gear ships rather than after your all-hands. Wireless-heavy floors usually get a wireless site survey in the same visit.

What an 80-room rollout actually looks like

Say you have eighty rooms across fourteen offices and a mandate to standardize before the fiscal year closes. The first thing we do is not order equipment. We collapse eighty rooms into four room types by seat count and geometry, build one bill of material per type, and pick two pilot rooms in your headquarters. Those two get installed, tuned, and lived in for a week. Everything we learn there gets folded into the standard before room three exists.

Then it becomes logistics. Room kits get built at our West and East Coast staging facilities — display, mount, camera, array, panels, and the right transport cable for that room's measured distances — firmware baselined, asset-tagged, and shipped to arrive on the crew's window instead of three weeks early into someone's mail room. Your network team gets the VLAN, DHCP, QoS, and PoE requirements in writing per site while the kits are still being built, so the closet is ready when the crew is. Every crew's certificate of insurance gets audited against that building's requirements before the truck rolls, because a site super turning a crew away over a missing additional-insured line costs a day and a return trip.

On site, the install is deliberately unremarkable. Backing gets verified or added, the mount goes up at the height the drawing calls for, the table box is core-drilled where the survey marked it, ceiling devices get pulled home to the IDF on plenum Cat6A and certified. Audio gets tuned with the furniture in the room, not in an empty box. Then the room dials out on a real call, we confirm far-end audio and video both directions, save presets, and photograph the finished state. If it does not pass, it is not signed off.

What you have at the end is four documented room types installed eighty times, identical device naming, per-room acceptance evidence, and as-builts your help desk can actually use. When a room breaks in eighteen months, the ticket says which room type it is, and the fix is the same everywhere. One project manager, one standard, one purchase order across all 48 states — and every room's status visible in the Project Command Center while it is in flight.
