Conference room technology standardization is the practice of reducing an entire meeting room estate to a handful of repeatable builds. Each tier gets one display and mount spec, one codec and camera, one microphone coverage pattern, one control surface, one table connectivity kit, and one cabling and power design — then that build is deployed identically in every office so support, spares, and user training all collapse to a single pattern.

Room Survey & Tier Assignment
We survey every room in the estate — dimensions, farthest-viewer distance, ceiling type, table, existing drops, power — and assign each one to a tier so the standard fits the space instead of the other way around.
Standard Design & Bill of Materials
One design document per tier: display and mount, codec, camera, microphone coverage, control surface, table connectivity, cabling, and power. The pilot room proves it, then the standard is locked.
Cabling, Power & Room Infrastructure
Cat6A to every AV endpoint, dual PoE+ drops for codec and touch panel, plenum-rated runs in shared ceilings, floor box or poke-through for the table feed, and a dedicated circuit at the display wall.
Staging, Install & Commissioning
Gear is received, imaged to the firmware baseline, configured, labeled, and burned in at our staging facility, then shipped as a numbered room kit. On site, crews install, commission, and verify to a per-room test card.
Standard Builds Sized by Room, Not by Guesswork
Most estates resolve cleanly into three or four tiers. Display size follows the farthest-viewer distance, and microphone coverage follows the table and ceiling — the two decisions that determine whether a room actually works.
Huddle Room (2-6 seats)
Single display, all-in-one bar with integrated camera and beamforming mics, wall or table touch controller, one Cat6A drop with PoE+ and a table feed. The room type that scales fastest across an estate.
Medium Room (8-12 seats)
Single or dual display, separate compute plus camera bar, table or pendant microphone coverage sized to the table, table connectivity cubby, and a small credenza rack for the compute and network gear.
Large & Training Room (16-24 seats)
Dual display or LED wall, front-of-room and rear-of-room cameras with speaker framing, ceiling microphone array with DSP and echo cancellation, distributed ceiling speakers, and presenter connectivity at the lectern.
Boardroom & Executive (20+ seats)
Multi-display or LED canvas, multi-camera director switching, per-seat or array microphone coverage, DSP with room tuning, AV-over-IP transport, integrated shades and lighting control, and a full AV rack.

Forty Identical Rooms Is a Logistics Problem.
Building one excellent room is straightforward. Building the same room forty times, in twenty cities, on a schedule, with the same firmware and the same labels — that is where rollouts break. Staging at both coasts and one project manager across the whole estate is how we keep room forty identical to room one.
How a conference room standardization rollout runs
It starts with a survey of what you already have. We measure every room, photograph it, note the farthest-viewer distance, the ceiling type, the table, the existing drops, and whether there is power anywhere near the display wall. That inventory is what tells you how many tiers you actually need — most estates resolve into three or four, and a handful of rooms turn out to be outliers that should get their own treatment rather than distort the standard for everyone else.
Then we build one of each tier and let people use it. A pilot room is where the arguments get settled: whether the ceiling mic array covers a table that long, whether the display reads from the back row, whether the one-touch join actually works when the room is booked back to back. Once the pilot is signed off, the tier is locked — a fixed bill of materials, a fixed cabling and power design, a fixed control layout, and a commissioning checklist that every subsequent room has to pass.
From there it is execution. Gear comes into our staging facility on the coast nearest the sites, gets imaged to one firmware baseline, configured, labeled, and kitted by room number, so a crew arriving in Dallas opens a box that already knows which room it belongs to. Crews pull the Cat6A, set the mounts, land the table feed, install, and commission against the card. Serial numbers and MAC addresses are captured per room and handed back with the as-built. If your rooms depend on a wider refresh, we sequence it with the multi-site network deployment so the drops and switch capacity are live before the AV gear lands, and every room is tracked to closeout in the Project Command Center.
